Senior Site Secretary (London Business)

We are seeking an experienced and highly organised Senior Site Secretary to provide essential administrative and secretarial support to a busy construction project. This role requires a proactive approach, anticipating management needs while maintaining an approachable and professional manner. You will play a key role in ensuring smooth day-to-day operations and high-quality administration across allocated contracts within our London business.
About the Role:
As a Senior Site Secretary, you will work closely with the project team to ensure all administrative tasks are managed efficiently. Your responsibilities will include:
Managing induction records and ensuring compliance with site entry procedures.
Overseeing the MSite turnstile system.
Coordinating IT requirements and arranging inductions for new employees.
Distributing weekly progress photos to key stakeholders.
Keeping health & safety plans, induction records, and First Aid/Fire Marshall posters up to date.
Assisting the site team with monthly SHE returns and collating client reports.
Preparing presentations and documents for the project team.
Supporting Considerate Constructors Scheme (CCS) initiatives and generating innovative ideas.
Managing PPE stock levels and site office supplies.
Maintaining key project trackers and subcontractor safety folders.
Providing aftercare support and general site administration.
Organising monthly team social events to foster a positive working environment.
What We’re Looking For:
To excel in this role, you should have:
Experience in a similar role within the construction industry, supporting internal and external stakeholders.
Strong organisational skills with the ability to prioritise tasks effectively.
Advanced technical proficiency across Microsoft Office applications, including Windows, Outlook, PowerPoint, and Excel.
Excellent communication skills and a proactive attitude.
A business-related qualification (A-Level or equivalent preferred).
